We collect the minimum data needed to make PrakticePlan work well for you. We don't sell your data, spam you, or do anything sketchy. Your practice plans and drills are yours.

Email address (for login and important updates)
Name (to personalize your experience)
Subscription status (to provide Pro features)

Content You Create

Practice plans and drills you create
Media files you upload (images, videos)
Team branding settings (Pro users)
Search queries (used to return your results and improve search relevance — not to train shared AI models)

Usage Information

How you use the app (to make it better)
Device and browser info (for compatibility)
Error logs (to fix bugs)

Mobile App Access

Our iOS and Android apps request a few device permissions, and only when you use the related feature:

Camera & photo library: only to attach a whiteboard photo or diagram image to a drill. We access a photo solely when you choose to add one.
Notifications: if you allow them, the app schedules reminders on your device during a live practice (for example, when a drill is ending). These are generated locally on your device — we don't send marketing push notifications.

Live practice tracking (timers and drill progress) runs on your device. We do not use any third-party advertising or analytics SDKs that track you across other apps or websites.

How We Use Your Information

Process payments: Handle subscriptions through Stripe

AI Features & Your Content

PrakticePlan includes AI-powered features such as plan drafting and drill search. We want to be completely clear about what that means for your data:

We do not train shared or global AI models on your private content. Your playbooks, drills, diagrams, roster notes, and team data are never pooled with other users' data to build models.
We do not sell or share your content with third parties to train their models.
When an AI feature runs, it processes your content only to produce the result you requested, within your own account.
Content you deliberately publish to the public community library is the only exception — and only because you chose to make it public.

Who We Share Data With

Service Providers

Supabase: Database and authentication (they host our data securely)
Stripe: Payment processing (they handle your payment info, not us)
Email service: For sending notifications and updates

We DON'T Share With

Advertisers or data brokers
Social media companies
Anyone who wants to buy your data
Government agencies (unless legally required)

Data Security

We use industry-standard security measures including encryption, secure hosting, and regular security updates. However, no system is 100% secure. We'll notify you promptly if there's ever a security incident affecting your data.

Data Retention

Account data: Until you delete your account
Content: Until you delete it or your account
Usage logs: Up to 2 years for analytics
Payment records: As required by law (usually 7 years)

Cookies & Tracking

We use essential cookies to keep you logged in and remember your preferences. We also use analytics to understand how people use PrakticePlan (anonymized data only). No advertising cookies or creepy tracking.

Children's Privacy (COPPA)

PrakticePlan is built for coaches, directors, and other adults — it is not directed to children, and we do not knowingly create accounts for or collect personal information directly from anyone under 13. In line with the Children's Online Privacy Protection Act (COPPA), if we learn that we have inadvertently collected personal information directly from a child under 13, we will delete it promptly.

We understand many of our coaches work with youth and recreational leagues. If you enter limited information about minor players (such as a first name, jersey number, or performance note), the following boundaries apply:

Isolation: Player information you enter is scoped to your account and, where applicable, your team. It is protected by database-level access controls (row-level security) so it is not visible to other users, and it is never added to the public community library.
No profiling or advertising: We never use minors' information to build advertising profiles, and we do not sell it or share it with data brokers or advertisers.
Not used for AI training: Roster and player data is never used to train shared or global AI models.
Data minimization: Please enter only what you need. PrakticePlan does not require player birthdates, contact information, or other sensitive identifiers to function.
Deletion: You can delete player information — or your entire account and its data — at any time, and can email us to request deletion on a coach's or parent's behalf.

As the account holder, you are responsible for having the appropriate permissions from your league, school, or the players' parents/guardians before entering any information about minors, and for complying with your organization's own privacy obligations. If you are a parent or guardian and believe a coach has entered your child's information and you would like it reviewed or removed, contact us at privacy@prakticeplan.com.

International Users

PrakticePlan is based in the United States. If you're outside the US, your data will be transferred and stored here. We follow applicable international privacy laws including GDPR where required.

Changes to This Policy

We'll update this policy occasionally as we add features or change how we handle data. Significant changes will be announced via email or in-app notification.
